What this notice is

This is a notice about the Site. It is not a Notice of Privacy Practices for medical care, and it is not a promise that the Site is a secure place to send health information.

Clinical records, treatment, billing, and the Notice of Privacy Practices are handled by the practice when someone becomes a patient. Those rules are given at intake. They are not created by reading this page.

Who is responsible for what

The practice. Joelle Rotman, PMHNP (the “Practice”) is the clinician described on this Site. The Practice decides the practice facts published here and is responsible for clinical care and for protected health information once a treatment relationship exists.

The Practice owns and operates this Site and is solely responsible for it, including this notice, what the Site collects, how that information is handled, and compliance with privacy law.

Web vendor. Onitsoga Digital, the name used by Onitsoga Labs, Inc. (the “Vendor”), builds and maintains the Site as a vendor to the Practice, on the Practice’s instructions. The Vendor does not own or operate the Site, does not decide what it collects, is not responsible to you for this notice or for how the Practice handles information, and is not your clinician.

Do not send symptoms, medications, diagnoses, or other health details to the Vendor. Privacy questions and requests about the Site go to the Practice.

What this Site does not collect

The Site, as published, does not include:

• a contact form, account, patient portal, newsletter, comment box, or file upload;
• a request that you enter your name, email, phone, insurance, or health information into this Site;
• a marketing analytics script, advertising pixel, or visit-count beacon in the Site’s own pages;
• a sale of personal information, or sharing of personal information for cross-context behavioral advertising.

The email address on the appointments page is assembled in your browser so it is not written out as a single link in the page source. Copying it stays on your device. It is not sent to the Site.

If you contact the practice anyway

Phone calls use your phone carrier. Email uses your email provider. Those messages leave this Site. Ordinary email and voicemail are not a secure way to send health information. Do not include symptoms, medications, diagnoses, or other clinical details in an email or voicemail to the number or address on this Site.

If you send that information anyway, you do so at your own risk. The Practice does not undertake to keep unsolicited health information sent through those channels as a medical record of this Site.

Information processed automatically

The Site is delivered through Cloudflare. Hosting and security providers may process technical request data needed to serve and protect the Site, such as IP address, date and time, the URL requested, referring URL, and browser or device type. They may keep logs under their own retention settings.

That technical data is used to deliver pages, block abuse, and keep the Site available. It is not used by this Site to build a marketing profile.

Fonts, icons, and page scripts are served from this Site. The pages do not load Google Fonts or another font network.

Cookies

The Site’s own pages do not set a marketing or analytics cookie. A host or security service may set a cookie that is needed to deliver or protect the Site, such as a bot-management cookie. You can block cookies in your browser. Blocking them may affect whether the Site loads.

There is no cookie-preference panel, because the Site does not run optional advertising cookies.

When you leave this Site

Links and buttons can take you to other companies. Their privacy terms apply once you are there. This Site does not control them. In particular:

• Alma handles new-patient scheduling for the Practice. A “request a consult” button opens Alma. Alma collects whatever you submit there.
• OnPatient is the existing-patient portal named by the Practice. This Site does not host that portal and does not publish a login.
• Psychology Today, LinkedIn, and the books, podcasts, and clinics listed under Resources are separate sites.

Opening those links is optional. The Practice and the Vendor are not responsible for the privacy practices of those services.

How technical data may be shared

Technical request data may be processed by the company that hosts and protects the Site, by the Vendor only as needed to maintain the Site for the Practice, and by anyone the Practice is required to share it with by law, or to investigate abuse of the Site, fraud, or a threat to safety or security.

We do not sell personal information.

Children

The Practice sees adolescents as well as adults. This Site does not knowingly collect personal information from children under 13, and it has no account or form for a child to fill in. A parent or guardian who wants to ask about care for a minor should call the Practice. Do not send a child’s health information through this Site or by ordinary email.

Security and retention

The Site uses ordinary technical safeguards for a public brochure site, including encrypted delivery in production and browser restrictions on what the pages may load. No website transmission or host log is completely secure.

Server logs are kept according to the host’s settings and any copies exported for security. They are not a patient chart.

Your choices

You can leave the Site, decline to call, decline to email, and decline to open Alma. You can use browser controls to limit cookies and to block scripts. Because the Site does not have an account, there is no Site profile to download or delete.

Changes

This notice can be updated by posting a new version on this page and changing the effective date. If a form, analytics tool, or other collection is added to the Site, this notice will be updated to name it before that collection is part of the live Site.
